5 Red Flags Before You Book a Wedding Vendor in Ontario
October 12, 2026 · 5 min read · By the WEVO team
Warning posts are the most-read posts in the WEVO group, and the same stories come up again and again: a deposit that disappeared, a vendor who stopped replying, a "package" that turned out to include half of what was promised. Most of these problems show warning signs before you ever pay. Here are the five we see most often.
1. There's no written contract
A professional vendor gives you a written contract before taking money. It should list exactly what you're getting, the date and times, the total price, the payment schedule, and what happens if either of you cancels or reschedules.
What to do: Don't pay anything until you've read and signed a contract. If a vendor says "we don't really do contracts," keep looking.
2. They want everything paid upfront
A deposit to hold your date is normal. Paying the full amount many months ahead, or being pushed to pay today to "lock in" a price, is a red flag. If the business closes or double-books, getting that money back can be very hard.
What to do: Ask for the payment schedule in writing. Pay by credit card where you can, since it offers more protection than cash or e-transfer.
3. You can't find real reviews or full work
A polished highlight reel is easy to put together. What you want is proof of consistent work: full wedding galleries, complete videos, or several recent events, plus reviews from real couples.
What to do: Ask for a full gallery or video from a wedding like yours. Search the vendor's name in the WEVO group to see what members say.
4. They're vague about what's included
"It depends" is fine for a first chat, but not for a final quote. Hours, travel fees, overtime, assistants, set-up and tear-down, and HST should all be spelled out. Surprise fees usually show up close to the wedding, when it's too late to switch.
What to do: Ask for an itemized quote and confirm whether the price includes HST.
5. Communication is slow or rude before you've even booked
How a vendor treats you while they're trying to win your business is the best they'll ever be. If replies take weeks, answers are dismissive, or they won't put things in writing now, it rarely gets better after you've paid.
What to do: Trust your gut. There are thousands of great vendors in Ontario, and you don't have to settle.
Before you sign
Ask every vendor the same questions so you can compare fairly. Our checklist of questions to ask before you sign is a good place to start, and you can always ask the WEVO group for recommendations in your area.
